Tasks and mentions
Assign a card to a colleague, mention them in an internal note and keep track of your cards in one place. Owners and admins see how much work each person has.

Every card in a client workspace can have an assignee — the colleague who looks after it. All cards assigned to you are on the Tasks page. In a card's internal notes you can mention colleagues with @ and DOXIO notifies them.
Card assignee#
- Open Workspaces, pick a workspace and click a card.
- In the card detail, find the Assignee field.
- Pick a colleague from the list, or take the card yourself with Take it.
The new assignee gets an in-app notification. On the board the card shows a small circle with their initials, and the List view has an Assignee column. To remove the assignee, choose Unassigned.
The list only offers colleagues who can see the workspace. If your organization lets members see only the workspaces they are assigned to, add the colleague to the workspace team first.
My tasks#
The Tasks page in the top bar lists the cards assigned to you across all active workspaces you can see. Cards in archived workspaces are not shown.
Order:
- overdue cards first (oldest due date first),
- then cards with a due date, soonest first,
- then cards without a due date, most recently moved first.
Each card shows its workspace, column, due date and labels. Click the title to open the card right on the board.
Narrow the list with the Workspace, Due date (Overdue, Within 7 days, Has a due date, No due date) and Label filters. Filters are stored in the page address, so you can bookmark a filtered list.
Team workload#
Owners and admins also get the Team workload tab on the Tasks page. For every member of the organization it shows how many cards they have and how many of those are overdue. The last row, No assignee, counts the cards nobody has.
Click a name to open that colleague's task list, with the same filters as your own. Members only see their own tasks.
Mentions in internal notes#
- In the card detail, write a comment and tick Office only (the client won't see it).
- Type
@and start typing a colleague's name. A list of colleagues who can see the workspace appears. - Pick a colleague with the arrow keys and Enter (or Tab), or click them. Esc closes the list.
- Click Save note.
Mentioned colleagues get an in-app notification with an excerpt of the note and a link to the card. You are never notified about your own note. Mentions work only in internal notes — a comment for the client notifies nobody, and the client never sees internal notes.
Canned replies in comments#
Below the comment field there is a Canned reply button. Pick a reply and its text is inserted where your cursor is. Variables are filled in:
| Variable | Replaced with |
|---|---|
{{klient}} | the workspace's client, or the workspace name when no client is set |
{{kancelar}} | your organization's name |
{{datum}} | today's date |

You can edit the inserted text before sending. Owners and admins create canned replies in Settings → Canned replies (the Manage canned replies link is right in the list).

Writing to a workspace needs an active subscription and the workspace must not be archived. For more about roles, see Team and roles.
